GUIDELINES
For 30-minute presentations, there should be up to two speakers.
For 75-minute panels, there should be 1 panel moderator and a maximum of 4 panelists.
Poster Gallery presentations should have no more than one speaker.
All speakers and panelists must sign a speaker agreement to participate. All speakers and panelists will be registered once the speaker agreement is completed.
Speaker FAQs
What date/time is my session?
You can log into your Speaker Dashboard to see the dates/times of your associated sessions. The conference program will be live mid-March, including locations.
Which room will my presentation be in?
Conference sessions will be held in the meeting room (street) level of the Colorado Convention Center, in rooms 301 – 304, as well as on the exhibit floor in booth# 128. Session room numbers can be found on the HYDROVISION website under the conference program, once available.
What should I bring?
Speakers should bring their presentation on a USB OR their computer. There will not be internet in the conference rooms. Show management will not be able to provide access to any previously loaded presentations. If your company does not allow for use of a USB, please bring your personal computer to access your presentation.
Do I need to meet with my fellow panelists, moderator, or session chair ahead of time?
This is entirely up to your session chair or moderator, but we recommend meeting with them the morning of your session in the Speaker Ready Room (404), if possible. Please confirm when they contact you in the 30 days before the conference.
What audio/visual equipment is provided?
Screen, projector, podium, microphone, wireless presenter, and a laptop computer. Plan to prepare your presentation in 16:9 format (HD). You can display your presentation either through our provided laptop using a flash drive or connect your own computer to display your presentation.
Do I need to prepare handouts and/or slides?
If you are an individual presenter, we highly recommend that you upload your slides so attendees can download them during or after the event. To upload your presentation, log into your speaker dashboard using your email and password. One of your tasks will provide instructions on uploading your final presentation. Please use a USB or your computer to access your presentation when onsite. Any presentations uploaded prior to the conference will ONLY be used for conference proceedings.
Am I registered?
All primary speakers, panelists, panel moderators, and session chairs will be registered by Clarion Events upon completion of your Speaker Agreement. Speakers receiving complimentary badges, chairs/committee can pick up their badges onsite at Registration beginning Monday, July 15th. We urge you to pick-up badges the day before or a few hours prior to your presentation.
What does my full conference pass cover?
You can see what is included in your full conference and, or summit pass here. Once you complete your speaker agreement and are registered by our team, you will be able to add ancillary events, such as technical ours, workshops, etc. when logging into the registration portal.
Is there a Speaker Ready Room?
Yes. You'll find stations to review your presentation and make changes if necessary. Staff will be available to assist you with any presentation or session questions. Our Speaker Ready Room will be Room 401 on the meeting room (street) level of the Colorado Convention Center in Denver, Colorado.
Is there a slide template we are required to use?
Yes. The template is available in our Speaker Hub and your speaker dashboard.
We request you use this template for your opening and closing slides. Remember, vendor company logos are acceptable only on the opening and closing slides. Utility logos are permissible on all slides.
